BRIEF: Following a two-year hiatus (owing to the covid outbreak), we were delighted to be asked to resume our longstanding relationship as the chosen event partner for this world-renowned medical conference as it returned to the live event space.
EVENT OVERVIEW:
Having previously surpassed established KPI’s in delivering the conference and its supporting events, we were excited to assist the continuing growth of this exceptional event.
The 4 day (5 including build) event draws delegates and a world-renowned Faculty of speakers from across the globe and incorporates multiple simultaneous conference sessions daily as well as a strong supporting networking and social programme. Additionally the conference includes a wide variety of high-end sponsors from across the medical industry who exhibit onsite.
Working to short, medium and long-term event timelines, we successfully oversaw the implementation of a fully branded event website and registration portal which was customised to enable multiple delegate streams and booking options. The site was maintained and updated inline with speaker and sponsor confirmations and programme alterations, with additional content becoming available in the final run in to the event. Registration and delegate liaisons were managed throughout.
We oversaw the design and creation of all supporting marketing and event and materials including bespoke, track-relevant delegate badges, a variety of event programmes, sponsorship brochures, event branding materials and social media assets.
Working closely with the client’s event team, we ensured the wide variety of sponsorship options and deliverables were accurately and successfully deployed and that all sponsor and supporter relationships were given the due time and care they merit.
We oversaw the collation of all speaker bio and session details whilst also supporting over 70 speakers, travelling both nationally and internationally in attending the event. We assisted them with bespoke session-specific content, accommodation and social programme options, event and AV joining instructions, as well as with FAQ’s and personally assisting them with any troubleshooting in the lead up to the event. In collaboration with our trusted AV partner, we enabled multiple speakers to deliver content virtually, establishing clear guides for virtual participation within dedicated pre-event and comms. This included pre-event testing sessions to ensure connectivity (and full speaker confidence) ahead of the live event delivery.
Following months of pre-event preparation, we united with all onsite event partners, working particularly closely with the venue, AV production and catering teams to deliver the largest and most successful conference to date and were delighted to receive consistently high levels of delegate feedback across all key metrics.
