If you just need a crisp microphone for a quick welcome speech and some background music, don’t let yourself get talked into a full production rig. If you do need a big setup, shop around – bringing in your own trusted AV supplier can sometimes be cheaper and with better gear.

Catering Miscalculations and Waste

Food and drink are usually the biggest line items on the budget, and it’s where money gets thrown away the fastest. Over-ordering out of fear that people will go hungry, or getting caught out by strict minimum bar spends, can easily add thousands to the final bill.

How to avoid it: Be realistic with your guest count. Corporate events almost always see a 10 to 15 per cent drop-off on the night, so don’t over-cater for people who won’t be there. Choosing bowl food or interactive food stations over a rigid sit-down dinner is another great move – it keeps people moving, cuts down on food waste and keeps your catering bill under control.

Last-Minute Indecision

Indecision is quietly the most expensive part of event planning. Changing the room layout three days before, rushing print runs for signage, or switching suppliers at the eleventh hour will rinse your budget with rush fees and cancellation penalties.

How to avoid it: Set firm deadline dates for design, layout, and schedule sign-offs, and stick to them. Always set aside a strict 10 per cent contingency fund in your budget – reserved strictly for real emergencies, not for last-minute mind changes.
